four questions before new software

Before subscribing to new software, ask these four simple questions to make sure the tool gets used—and your money doesn’t go to waste.

four questions before new software

An exciting new tool is great—until it ends up half-finished and the team goes back to the same old Excel sheet. Before buying a subscription, these four questions can help you avoid wasting money.

1) Exactly what task will it reduce?

If you can’t say in one sentence, “This tool removes this repetitive task,” the problem probably isn’t clear yet. Define the problem first, then choose the tool.

2) Who will use it every day?

A tool that only the manager sees while the team never touches it usually ends up gathering dust. Have one clearly responsible person.

3) Does it work with your existing tools?

If you’re going to copy data manually all over again, the benefit is limited. At minimum, check how data gets in and how it gets out.

4) If you don’t want it next month, is it easy to leave?

Ask about data export, subscription cancellation, and vendor lock-in before you buy—not after you’re already locked in.

Bottom lineA good software tool is one that makes a specific task easier and that the team actually uses—not one that simply has a beautiful dashboard.
